Privacy Policy

This policy explains what personal information QuoteTic collects, why, and what rights you have over it. QuoteTic is a site-survey-to-quote tool for contractors, operated by Lesley Crocker, trading as QuoteTic ("QuoteTic", "we", "us"), based in South Africa at Sub 1 of Farm Buchan, Misty Mount Farm, Thornville, Pietermaritzburg, 3260. This policy applies to quotetic.com, app.quotetic.com, and the QuoteTic app itself.

1. What we collect

Account information: your name, email address, and role within your company (owner, admin, office, or surveyor).

Company information: your company name, logo, address, VAT/tax details, currency, and pricing preferences, if you provide them.

Survey data: site names, addresses, contact details, photos, item descriptions, quantities, and notes captured during a site survey.

Pricing data: your own rate list (prices, units, categories) and the quotes generated from it. We never see or suggest what you should charge — that list is entirely yours.

Usage information: basic technical information needed to run the app (e.g. sign-in sessions, app version, error logs) and daily usage counts for the AI note-tidying feature (see below), so we can enforce fair-use limits.

We do not use tracking or advertising cookies. The marketing website (quotetic.com) does not run analytics or advertising tracking.

2. How we use it

• To provide the service: create and price surveys, generate quotations and scopes of work, manage your team, and run your trial or subscription.
• To communicate with you about your account, trial, or support requests.
• To improve QuoteTic and fix problems.
• To meet legal and tax obligations.

We do not sell your information, and we do not use your survey or pricing data to train any AI model.

3. AI note-tidying ("Tidy")

QuoteTic offers an optional feature that turns a rough field note or photo caption into a clearer one. When you tap "Tidy this note," the note text (and basic context like the item's quantity, unit, and area) is sent to Anthropic's Claude AI model for processing, and the suggestion is shown back to you to accept or ignore — nothing is changed without you choosing to use it. This only happens when you tap the button; it is never automatic. Anthropic processes this text under their own data-handling terms and does not use it to train their models on our plan.

4. Where your data is stored

Your data is stored with Google Cloud (Firebase), in the Johannesburg, South Africa (africa-south1) region — we chose this deliberately so South African customers' data stays in South Africa. Photos are stored in the same region.

If you are in the European Union or another region with cross-border data transfer rules, your information is still transferred to and processed in South Africa to provide the service. This transfer is covered by Standard Contractual Clauses incorporated into our agreement with Google Cloud/Firebase, our hosting and database provider.

5. Who we share it with

We share information only with the service providers who help us run QuoteTic, and only as much as each needs to do its job:

• Google Cloud / Firebase — hosting, database, authentication, and file storage.
• Anthropic — processes note/caption text only when you use the Tidy feature (see section 3).
• Lemon Squeezy — if you subscribe to a paid plan, our payment provider processes your payment details directly; we do not see or store your card details ourselves.

We do not share your information with anyone else, and we do not sell it.

6. How long we keep it

We keep your information for as long as your account is active, and for a reasonable period afterward to meet legal, tax, and accounting obligations. You can ask us to delete your account and data at any time (see section 7) — while some information may need to be retained for legal reasons (e.g. financial records), we will delete or anonymize the rest.

If your trial or subscription lapses, your data is not deleted — your account becomes read-only so you can still view and export your surveys and quotes, but can't create or edit new ones until you subscribe.

7. Your rights

Depending on where you're based, you may have the right to:

• Access the personal information we hold about you
• Correct inaccurate information
• Request deletion of your information
• Object to or restrict certain processing
• Receive your data in a portable format
• Complain to your local data protection authority — in South Africa, the Information Regulator; in the EU, your national data protection authority.

To exercise any of these rights, email quotetic.app@gmail.com. We'll respond within a reasonable time.

8. Security

We use industry-standard measures to protect your information, including Firebase's authentication and security rules, which ensure every company's data is isolated from every other company's, and that team members can only see the information their role allows. No method of storage or transmission is 100% secure, but we take reasonable steps to protect your data.

9. Children's privacy

QuoteTic is a business tool and is not directed at, or intended for use by, children. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this policy from time to time. If we make material changes, we'll let you know by email or through the app. The "Last updated" date at the top of this page shows when it last changed.
